Public holidays provide an opportunity to rest, celebrate traditions, and participate in cultural events, contributing to a well-rounded and fulfilling life.

  • Unpaid Leave: Available upon request and approval

We understand that sometimes life requires more flexibility than standard leave policies can provide. Therefore, we offer the option of unpaid leave, available upon request and subject to approval. Data Protection and Privacy

  • Handling of Personal Data: In line with our privacy policy

At MapleSage, we take the protection of personal data very seriously. All personal information is handled in strict accordance with our comprehensive privacy policy, which complies with industry standards and regulatory requirements. We only collect, store, and process personal data that is necessary for business operations and ensure that it is used responsibly and ethically. The confidentiality agreements outline the responsibilities and obligations of employees to maintain the integrity and security of information they encounter. Regular training and briefings are conducted to ensure all employees understand the importance of confidentiality and the potential consequences of breaches. By enforcing these agreements, we create a secure environment where sensitive information is protected.

  • Use of Company Resources: Monitored for compliance

MapleSage is committed to ensuring that company resources are used responsibly and in line with our policies. All use of company resources, including computers, internet access, and other equipment, is monitored to ensure compliance with our guidelines. This monitoring is essential to prevent misuse, protect against cyber threats, and maintain the overall security of our systems. Employees are educated on the acceptable use of company resources and are encouraged to report any suspicious activities. By implementing these measures, we foster a culture of accountability and ensure that our resources are used efficiently and securely to support our business objectives.

Travel and Expenses

  • Business Travel Guidelines: Pre-approval required

At MapleSage, we recognize that business travel is sometimes necessary to achieve our organizational goals and foster professional growth. However, to ensure that all travel is essential and conducted efficiently, we require employees to obtain pre-approval from their immediate supervisor and the relevant department head before booking any business trips. This process helps us manage travel expenses effectively, plan logistics smoothly, and ensure that all travel aligns with our strategic objectives. Employees are encouraged to provide a detailed itinerary and justification for the trip during the approval process. By adhering to these guidelines, we promote responsible travel practices while supporting our team's professional endeavors.

MapleSage is committed to reimbursing employees for legitimate business expenses incurred during approved travel. Employees must submit detailed receipts and an expense report within 30 days of completing their travel to ensure timely reimbursement. Our policy also highlights the importance of cost-effective spending and encourages the use of preferred vendors and negotiated rates where possible. By following these procedures, we maintain financial accountability and support our employees in managing their travel-related expenses effectively.

Termination and Resignation

  • Notice Periods: As per employment contract

At MapleSage, we value transparency and professionalism when it comes to employment transitions. The notice period required for resignation or termination is clearly outlined in each employee’s employment contract. We encourage employees to review their contracts and discuss any questions with their supervisors or HR.

  • Exit Procedures: Formal exit interview and clearance process

We believe that every employee's departure is an opportunity for growth and improvement. MapleSage has established a formal exit interview and clearance process to gather valuable feedback from departing employees. During the exit interview, employees can share their experiences and provide insights into their time with us, which helps us identify areas for enhancement. The clearance process ensures that all company property is returned, access to systems is revoked, and outstanding matters are settled. This structured approach not only safeguards our assets but also maintains a positive relationship with departing employees.

At MapleSage, we understand that addressing employee concerns and grievances promptly and effectively is vital to maintaining a harmonious workplace. We have established a formal grievance procedure to ensure that any issues or disputes are handled with fairness and transparency. Employees are encouraged to raise their concerns through the appropriate channels, starting with their immediate supervisor or HR representative. The process includes a thorough investigation of the grievance, meetings with relevant parties, and a resolution plan that aligns with our company policies and values. By providing a structured approach to grievance resolution, we aim to foster a supportive environment where employees feel heard and valued.

  • Mediation and Arbitration: Available as needed

In instances where grievances cannot be resolved through initial discussions, MapleSage offers mediation and arbitration services to facilitate a fair outcome. Mediation involves a neutral third party who assists in negotiating a mutually acceptable resolution between the involved parties. If mediation does not lead to a resolution, arbitration is available as a more formal method to settle disputes. An impartial arbitrator will review the case and make a binding decision based on the evidence presented. Our commitment to mediation and arbitration underscores our dedication to conflict resolution and upholding a respectful and collaborative workplace. These options ensure that all employees have access to fair and impartial mechanisms for addressing their concerns.
